Make the weekly figures answer a decision.

A weekly report should help the team decide what to investigate or change. Start with the questions from the marketing meeting, then agree which figures answer them.

Define the week and the source

Agree the reporting window, performance dates and venue reports. Show missing or late information. A partial week should not look like a complete one, and a corrected report should update the related totals.

Compare like with like

Comparing equivalent production weeks can be more useful than comparing unrelated calendar dates. Consider performance count and the stage of the run. Agree the comparison with the people using it rather than assuming every show is directly comparable.

Look beyond the total

Attendance, ticket quantities and average ticket price help explain a change in income. Define the denominator for each measure and whether figures are gross or net. A change in one number is a question to investigate, not proof of its cause.

Keep advance sales distinct

A ticket sold today may relate to a later performance. Show advance bookings separately from income attributed to performances already given. Agree the reporting and accounting definitions with finance.

Finish with the meeting question

Can the team identify whether a weak week reflects missing reports, lower attendance or lower ticket prices? A useful first dashboard might answer that one question before adding more views.
