Plan the handover, not just the form.

A useful starter form does more than collect answers. It helps the office know what has arrived, what still needs review and which information is ready for the next step.

Begin with the receiving team

Ask who uses the completed information: company management, payroll, finance or contract preparation. List what each team actually needs. Collect only relevant details and agree who may view sensitive information.

Choose questions by context

The required questions may differ by role, production and employment arrangement. Your payroll or HR adviser should confirm the requirements. The form can guide someone through the relevant path without showing every question to everyone.

Make missing information actionable

Distinguish an invitation, a form in progress, a submitted form and an office-reviewed record. A document being uploaded is not the same as a check being completed. Follow up on the missing item rather than asking someone to complete everything again.

Define the handover

Agree who reviews the record, what is exported or reused, and how later corrections are handled. Test a normal submission, an incomplete one and a person whose details need an individual review.

Use a real example to scope the build

Start with your existing form and an anonymised completed example. This guide concerns workflow design, not a definitive list of legal, tax or right-to-work requirements. Have the appropriate adviser approve those requirements.
